Position Overview:

The Office Supervisor provides essential administrative support to the Chamber of Commerce, assisting with daily operations including but not limited to recording payments, invoicing, banking deposits, event coordination, member services, and communications.

This role requires a proactive, detail-oriented individual with strong computer skills who can handle multiple tasks efficiently while maintaining a high level of professionalism and customer service with exceptional attention to detail.

The ideal candidate should possess the requested skills, but we are willing to train the right person who takes pride in accomplishing tasks with zest and a “can do” spirit.

JOB DESCRIPTION

Chamber of Commerce Office Supervisor

Pay Range – $21.50 to $26.00 Per Hour

Full time – Permanent

Office Supervisor provides support to the Chamber Executive Director and office staff in accounting procedures, customer service for membership, event and mixer coordination, office administrative assistance and on-going Visitor Center counseling services under the direction of the Chamber Executive Director. Core areas of responsibility are as follows:

Accounting: Process all accounts payable and account receivable transactions, including monthly processing of reports, reconciliation of accounts, financial reports and check processing. Maintain accurate accounting records, binders of statements, and assist with communication to Board of Directors, and at times obtain signatures for checks.

Supervisor: Oversee the work duties of front office staff, including approving time off, scheduling work hours, hiring and work performance reviews under the supervision of the ED.

Membership: Maintain current list of members and member prospects, send member applications to qualified prospects, prepare mass mailings, assist with membership champaigns and promotions, add new members in accounting system, website maintenance, email listings and adding new member brochures in Chamber racks in information center.

Events:  Assist in event coordination as necessary with pre-event paperwork, event planning, telephoning, emails, contracting and tracking vendors, keeping track of all monies, calling for donations and raffle prizes, ordering event supplies, making bank deposits, and keeping the ED informed of each event, organizing items necessary for Chamber Mixers (member names for money raffles, name tags, pens and signage), attending mixers, and other Chamber events.

Administrative: Assist ED as requested with preparing correspondence for members, follow up telephone call/emails, oversee Chamber office equipment (scheduling copier for maintenance, ordering postage machine supplies, printing and paper supplies, coffee and condiments for lobby) training of volunteers, creating and maintaining interoffice forms for use in tracking various events/areas.

Visitor Center: Maintain member brochure inventory, ordering of free publications to distribute, assemble Visitor and Relocation packets for mailing, answering telephones, filing for Visitor Center documents and chamber files, organize and cleanup of storage rooms, assist visitors with directions and recommendations for sightseeing, upkeep/cleaning of lobby (dusting, vacuuming and organizing of supplies), process cash and credit card sales, process all incoming mail, distribute to proper personnel, scheduling of volunteers/delegating duties to volunteers, maintaining outdoor bulletin board/keep current events only.

Website, Email and Facebook: Update member lists, post notices, check incoming email, send outgoing email replies to inquiries, maintain accurate and up-to-date member and event listings, keep contact info updated, and minor troubleshooting.

Assist with monthly newsletter, Chamber publications and other communications.

Other duties as assigned.
